Information for Presenters

Instructions for Preparing Your Presentations:

1) Poster Presentations:

​

For those presenting a poster of their work, please note the following format requirements (please adhere to them):

  • Size: A0 (841mm X 1189mm)

​

  • Orientation: Portrait

​

  • Posters will be displayed in the conference room

​

  • You can put your poster up any time after 8:30am on Wednesday 17th of September . Your poster can remain displayed for the full two and half days of the conference if you wish. We will have enough poster boards for everyone.

​

  • Your poster spot will be assigned and marked with your name and abstract ID

2) Oral Presentations:

​

  • Presentation Duration:

    • Oral Presentation: 12 mins + 3 mins for Q&A

​

  • All presentations will be run on a Windows operating system, so please ensure your PowerPoint files (.pptx) are compatible. This includes formatting embedded videos and colour schemes, especially if your presentation was created on an alternative OS.

​

  • Please upload your presentation files by 5th of September 2025 to the relevant Dropbox link below, labelled with date of presentation, your abstract submission ID, presenter name (e.g. 17_06_John Doe), which can be found on the programme

3)  Expert Talk, Keynote Presentations, Plenary Presentation:

​

  • Presentation Duration:

    • Expert Talk: 12 mins + 3 mins for Q&A

    • Keynote Presentation: 17 mins + 3 mins for Q&A

    • Plenary Presentation: 25 mins + 5 mins for Q&A

​

  • All presentations will be run on a Windows operating system, so please ensure your PowerPoint files (.pptx) are compatible. This includes formatting embedded videos and colour schemes, especially if your presentation was created on an alternative OS.

  • Please upload your presentation files by 5th of September 2025 to the relevant Dropbox link below, labelled with date of presentation, talk type (Expert Talk (ET), Keynote presentation (KP) and Plenary presentation (PP), presenter name  (e.g. 17_KP_John Doe). ​Your talk type will be available on the programme.

  • Expert Talk, Keynote Presentations, Plenary Presentation Upload:

For all Oral presentations:

​

  • There will be a final opportunity to test your presentations in the speaker preparation room. Conference helpers at the registration desk will be available to assist you with audio-visual matters and to troubleshoot any problems.

​

  • If you encounter any issues uploading your presentation online, please email HVBTE@magdiyacoub.co.uk. Alternatively, you may arrange to transfer your presentation to our file system in speaker preparation room at least 3 hours before your presentation timeslot. You will also be given the opportunity to test and preview your presentation.
